Decommissioning is the controlled transition from active use toward storage, transfer, sale, reuse or disposal. Evidence worth preserving

Closing evidence should show both the decision to retire the asset and the eventual disposition. Those may occur on different dates. Keeping them separate helps prevent equipment waiting for sale, donation, recycling or transfer from disappearing into an ambiguous “inactive” category before accountability has actually ended.

For a working process, define the expected record, define who may change it, decide what evidence is retained, and create an exception path for situations that do not fit the normal workflow. That approach keeps the asset register useful without hiding uncertainty or inventing precision.
