Employee Equipment Return Checklist

A practical starting checklist. Adapt it to your organization’s own authority, privacy, safety, accounting and regulatory requirements.

  • List assets expected back
  • Verify each asset ID
  • Verify expected accessories
  • Record return date
  • Record physical condition / exceptions
  • Clear employee custody
  • Place returned asset in appropriate status
  • Do not make returned equipment available before required inspection
  • Open investigation for missing items rather than silently deleting them
  • Record final handover / receiving person
Use proportionately: Not every asset needs every control. High-value, mobile, critical or sensitive assets may justify more evidence than low-risk fixed equipment.
